Buyer Guide

Sourcing Agent vs Buying Direct from China

Buying directly from China may reduce intermediary fees and give the buyer more control over supplier communication, quotations and commercial decisions. Using a sourcing agent may simplify Chinese-language communication, domestic payment, supplier follow-up, sample handling, warehouse receiving and multi-supplier consolidation. Neither model removes the buyer's responsibility for product specifications, compliance, supplier approval, quality decisions or payment authorization. Direct buying is not always cheaper after staff time, payment friction, inspection, consolidation and logistics are included. The better model depends on language ability, supplier count, order complexity, China-side support and the buyer's capacity to manage documents and exceptions.

Direct answer

Choose the model that covers coordination gaps. Direct buying can work when communication, identity, payment, inspection and freight are manageable. Agent support can help with 1688, multiple suppliers, domestic receiving or Chinese follow-up. A hybrid model keeps buyer decisions separate from local tasks.

Direct buying and sourcing-agent models

Direct buying

The buyer contacts and approves the supplier, agrees the specification and purchase terms, pays through an available route and arranges inspection and freight. External specialists can still be used without a full sourcing agent.

Sourcing-agent model

The provider performs an agreed set of China-side tasks. The buyer should still approve the product, supplier, compliance plan, payment and shipment decisions. Read How to Choose a China Sourcing Agent before delegating work.

Supplier access, 1688 and language

Direct buyers can use export platforms, fairs and industrial regions. 1688 offers domestic-market access but adds search, language, payment and China-delivery friction. Start with How to Search 1688 in English.

An agent may translate and follow up, but request the supplier's legal identity and original quotation. Technical and commercial meaning must remain accurate.

Specifications, RFQs and supplier verification

In both models, the buyer must define product function, material, dimensions, packaging, target market and acceptance criteria. An agent can format or translate an RFQ but should not invent critical requirements.

Supplier verification should identify the legal company, operating location, claimed role and relevant capability. An agent's relationship or platform badge does not replace independent review. Use the Supplier Risk Checker and compare factory and trading-company roles.

Samples, MOQ and price negotiation

Direct communication gives the buyer immediate access to supplier explanations but requires disciplined records. An agent may collect samples from several suppliers, photograph them and consolidate delivery. Define sample labels, custody, approval and forwarding fees.

For MOQ and price, insist that the final quotation records quantity, variants, material, packaging, one-time fees and Incoterm. Local negotiation does not justify an undisclosed specification change.

Payment and beneficiary verification

Direct payment can simplify the relationship when the supplier and route are clear. Some 1688 buyers may use documented provider routes subject to account, country and order conditions; review How to Pay on 1688 from Overseas.

An agent may collect money and pay domestic sellers. Confirm the contracted entity, beneficiary, exchange rate, service fee, supplier payment evidence and refund process. Reverify changed bank details independently.

Quality inspection and order follow-up

Direct buyers can appoint an independent inspection company and receive the report directly. An agent can coordinate production updates and booking, but its own check is not automatically independent.

Define who approves the golden sample, handles defects, authorizes rework and releases the balance. Keep the inspector's scope and payment separate where independence matters.

Multiple suppliers, domestic delivery and consolidation

One or two export-ready suppliers may be practical to manage directly. Several 1688 sellers can create multiple payments, domestic courier shipments, receiving discrepancies, storage and repacking work.

An agent or warehouse can coordinate receipt and consolidation. Require SKU counts, carton photos, damage notes, inventory records and export handoff evidence. Read Does 1688 Ship Internationally? before assuming a seller will deliver overseas.

Freight, export documents and compliance

A freight forwarder can often support pickup, export handling and international freight without becoming the sourcing agent. The buyer still confirms the Incoterm, exporter, cargo data, import clearance, duty, tax and final delivery.

Product compliance belongs to the destination product and buyer role. Neither direct buying nor an agent transfers this responsibility automatically. Use independent testing or professional advice where required.

Returns, transparency, control and ownership

Local coordination may simplify China returns, but supplier acceptance, freight and refund evidence still need written terms. Cross-border rework is costly under either model.

With an agent, contract for access to supplier names, quotations, communications, files and samples. Avoid indefinite control by one provider.

Cost structure and buyer time

Direct buying avoids a full-service agent fee but may require staff time, translators, payment setup, domestic receiving, inspection coordination and exception handling. Agent-assisted buying adds service cost but may replace some of that work.

Small orders, private label and machinery

Small orders

A minimum agent fee can outweigh the benefit for one simple export-ready supplier, while several 1688 sellers may justify payment and consolidation support.

Private label

Agent coordination can help samples, packaging and production follow-up. The buyer still controls specification, brand assets, compliance and acceptance.

Machinery

Technical specifications, factory capability, test protocol, spare parts, manuals, installation and after-sales support need qualified review. Local coordination does not replace engineering acceptance.

Direct buying may fit when

  • The buyer can communicate effectively.
  • Supplier identity and payment route are clear.
  • Only one or two suppliers are involved.
  • Inspection and freight support are already available.
  • The specification and documentation are manageable.

Agent support may fit when

  • The buyer is purchasing from 1688.
  • Several suppliers require receiving and consolidation.
  • Chinese-language negotiation and local follow-up are important.
  • Samples, domestic payment or warehouse work are difficult.
  • The product or order requires sustained China-side coordination.

Copy-ready sourcing-model questions

Before choosing direct buying or an agent, confirm:

1. Can our team communicate the complete specification and commercial terms?
2. Is the supplier's legal identity and payment beneficiary verified?
3. How many suppliers, samples and China domestic shipments are involved?
4. Can we use a documented payment route directly?
5. Who will coordinate samples, production updates and defects?
6. Who will arrange independent inspection?
7. Do we need China warehouse receiving, consolidation or repacking?
8. Who will handle export documents, freight and destination delivery?
9. What staff time and local problem-solving are required?
10. Which tasks should remain under direct buyer control?

A hybrid sourcing model

The buyer can communicate directly with the supplier while an agent handles domestic payment or consolidation. An independent inspection company can perform QC, and the buyer can select its own freight forwarder.

This separation avoids giving one provider control over every stage. Define information sharing, task boundaries and payment authority so the providers can coordinate without duplicating or hiding work.

Three sourcing-model examples

Amazon seller

The buyer controls design, compliance and supplier approval. An agent coordinates packaging and updates; an independent inspector reports to the buyer.

Small wholesaler

A purchasing agent pays four 1688 sellers and consolidates receipts, while the buyer selects products and the forwarder.

Machinery buyer

The buyer works with the factory's technical team. A coordinator schedules tests, an engineer reviews acceptance, and a forwarder ships the machine.

FAQ

Is it cheaper to buy directly from China?

Not always. Compare product, staff time, payment, inspection, consolidation, freight and exception-handling costs on the same scope.

Do I need a sourcing agent for Alibaba?

Not necessarily. Export-oriented suppliers may support direct communication and shipping, but complex products or coordination gaps can still justify specific support.

Do I need an agent for 1688?

Some buyers can search and pay directly through available routes, while others need Chinese communication, domestic payment, receiving or consolidation.

Can I use a freight forwarder without a sourcing agent?

Yes. A forwarder can provide logistics services while the buyer manages the supplier relationship.

Can I communicate directly with the supplier while using an agent?

Yes when the service agreement permits it. Clarify communication, supplier information and decision authority before starting.
