Buyer Guide

China Sourcing Agent Fees Explained

China sourcing agents may charge a percentage commission, fixed project fee, minimum charge, retainer or a combination. The headline fee may exclude payment processing, exchange-rate spread, China domestic freight, warehouse receiving, storage, inspection, repacking, labels, export support and international shipping. The model depends on service scope, order size, supplier count and product complexity, so there is no responsible universal fee percentage. Ask each provider for an itemized written quotation that separates included, extra and unknown charges. Compare the complete agent-assisted landed cost with the realistic cost of buying directly, using the same product, quantity, payment and delivery assumptions.

Direct answer

The useful number is complete agent-assisted cost, not the advertised commission. Compare fee models only after every provider quotes the same sourcing, payment, receiving, inspection and logistics scope. Mark excluded or unknown costs explicitly and compare the resulting landed cost with a realistic direct-buying workflow.

Why sourcing-agent fee structures vary

A simple repeat order from one known supplier requires different work from a new private-label launch, ten-supplier 1688 consolidation or custom machine. Product complexity, supplier count, transaction value, sample work, reporting, warehouse time and technical involvement can change the fee structure.

No provider label proves which services are included. Review How to Choose a China Sourcing Agent before comparing prices.

Commission, fixed, minimum, hybrid and retainer models

Percentage commission

The provider applies an agreed percentage to a defined cost base. Confirm whether that base includes product value, domestic freight, tooling, tax or other charges.

Fixed project or task fee

A defined supplier search, sample project or purchase-order scope has a fixed charge. Extra revisions or suppliers may be separate.

Minimum service fee

A percentage proposal may still have a minimum charge, which matters for small orders.

Hybrid or retainer model

A provider may combine a fixed setup fee, transaction charge and recurring retainer. Compare the complete period cost and termination terms.

Supplier search, samples and payment charges

Supplier search may be included, charged per project or credited after an order. Sample handling can include purchase, domestic courier, receiving, photography, consolidation and international dispatch.

Payment processing and exchange-rate markup are separate questions. Ask which exchange rate is used, when it is locked and what transfer or platform fees apply. Current eligible overseas 1688 payment routes can sometimes reduce the need for an agent solely to pay a seller, but availability and account requirements vary.

China delivery, warehouse and value-added fees

China domestic delivery may be paid to the supplier, courier, agent or warehouse. Warehouse receipt can cover carton counting and basic photos; detailed SKU checking may cost more. Storage may begin after a free or included period.

Consolidation, repacking, labeling and product photography should be itemized. Confirm the unit used for charging: shipment, carton, SKU, hour, cubic metre, day or project.

Inspection, returns and refund handling

Inspection coordination may mean booking and forwarding a report. The independent inspection company's fee, travel, laboratory tests and re-inspection can be separate. Do not assume an agent's warehouse check is an independent inspection.

Ask who pays domestic return freight, supplier negotiation time, repacking and re-inspection when goods are defective. A promised refund is not useful without written supplier and provider terms.

Export support, freight and destination exclusions

Export documents, customs declarations, cargo handoff and freight coordination may be bundled or separate. International freight, cargo insurance, destination handling, import clearance, duty, tax and final delivery often depend on another provider and destination rules.

Incoterms allocate seller and buyer delivery responsibilities; they do not define the agent's service fee. Generate a Freight Quote Brief and compare the same route and named place.

Supplier commissions and unclear charges

Ask whether the provider receives commissions, rebates, logistics margins or other benefits from suppliers. The purpose is to understand incentives, not assume misconduct. A zero-fee claim may rely on another revenue source.

Warning signs include a changing calculation base, undocumented exchange rate, bundled freight without scope, charges added after warehouse arrival and refusal to share original supplier quotations.

Deposits, fee credits and refunds

A supplier-search deposit may be refundable, non-refundable or credited after an order. Confirm the conditions, deadline, deliverable and treatment if no suitable supplier is found. Retainers and recurring support need cancellation and unused-balance terms.

Do not describe a fee as refundable unless the written agreement defines the trigger and payment process.

Small-order and machinery economics

A minimum service charge can be large relative to a small order. Compare it with the time, language, payment and consolidation work avoided. For 1688, a narrower purchasing-agent service may fit better than full sourcing.

Machinery projects can require technical RFQs, factory capability review, test protocols, video acceptance, manuals, spare parts, installation coordination and export packing. These tasks should be quoted separately from routine purchasing.

Request an itemized quote

Give each agent the same scope and require included, extra, conditional and unavailable items. Ask for the exact fee basis, currency, quote validity, payment schedule and documents delivered.

Buyer-ready message

Copy-ready request for an itemized agent quotation

Please provide an itemized written quotation for the sourcing service.

For each charge, please state whether it is included, separately billed or not offered:
- Service commission, fixed fee and minimum charge
- Supplier search and quotation work
- Sample handling and domestic courier
- Payment processing and exchange rate
- China domestic pickup or delivery
- Warehouse receiving, storage and consolidation
- Repacking, labels and product photography
- Inspection coordination and independent inspection
- Return, refund and defective-goods handling
- Export documentation and freight coordination
- International freight and destination delivery

Please also disclose any supplier commissions, rebates or referral benefits and explain the refund or cancellation terms.

Calculate total agent-assisted cost

Product cost + China domestic delivery + payment cost + agent service fee + sample or tooling cost + inspection + warehouse and consolidation + repacking or labels + international freight + destination cost + duty or tax = total landed cost.

Keep unknown values visible. Do not enter zero just to complete a comparison. Use the Landed Cost & Quote Normalizer with the same quantity, currency and delivery scope.

Example: lower commission versus broader included scope

Agent A offers a lower headline commission, but payment processing, storage, repacking and inspection coordination are separate. Agent B charges a higher service fee that includes defined warehouse receiving, consolidation and weekly reporting.

Neither is automatically cheaper. The buyer adds each excluded cost, uses the same exchange rate and keeps unknown inspection or freight items visible. The decision also considers document quality and control, not only the final numeric estimate.

1688 consolidation and machinery examples

1688 consolidation

The comparison includes domestic payment, seller delivery, receiving by SKU, shortage photos, storage, repacking and one export handoff. The buyer checks whether exchange-rate and return-handling costs are separate.

Machinery

The service quote separates supplier search from technical specification review, factory visit, acceptance test, spare-parts check, export packing and installation coordination. Unknown engineering support remains visible.
