How to Compare Machinery Quotes from China

Compare machinery quotations in two stages: technical acceptability first, then commercial and project cost. A lower machine price is not meaningful when the supplier quoted a different output, omitted tooling, excluded controls, reduced the FAT scope or left installation and spare parts undefined. Normalize every quotation to the same requirement and keep unconfirmed costs visible instead of treating them as zero.

Apply a technical compliance gate before comparing price

Start with mandatory requirements. A quotation that cannot meet the process, material, output, tolerance, utility, safety or interface requirement should not become the preferred bid merely because it is cheap. Mark each line compliant, deviates, alternative proposed, excluded or unclear.

Build one technical and commercial comparison matrix

Put suppliers in columns and requirements in rows. Record the exact quotation page, revision and clarification source. Do not summarize an unclear answer as included. Keep a separate open-issues list with owner and due date.

Compare the complete known project cost

Separate the base machine from molds, fixtures, auxiliary equipment, export packing, inland transport, main freight, destination handling, duty, tax, unloading, rigging, site work, installation, commissioning, training, initial spares and consumables. Use a common currency and date for manual conversions.

Compare FAT scope, evidence and correction terms

One supplier may include a short dry run while another includes a product trial with measured output. Compare test material, duration, operating conditions, sampling, measurements, witness access, report format, punch-list correction and retest.

Compare brand and model, not only brand family. Record allowed substitutions and who approves them. For controls, compare program backup, passwords, source files, software licenses, remote access and support limitations. For custom equipment, confirm which drawings are as-built and which are supplier proprietary information.

A cheaper bid can create long-term dependency if replacement parts, software access or drawings are unavailable. Do not infer ownership or transfer rights from payment alone; put the agreed rights and deliverables in writing and obtain qualified advice when needed.

Normalize installation, spares and warranty

Record included technician days, travel, visa, accommodation, local labor, tools, materials, extra-day rates and delay responsibility. Compare the commissioning acceptance point and whether site acceptance is separate from factory acceptance.

A technically attractive quotation does not verify the legal entity, beneficiary or real manufacturing role. Run a separate supplier review and record unresolved findings beside the quote.
