Buyer Guide

EXW Quote Hidden Costs from China

An EXW quote normally focuses on goods made available at the seller's named location. Pickup, loading, China inland transport, export formalities and international logistics may not be included. Confirm the exact named place and the supplier's written quotation scope before accepting the number. An EXW unit price cannot be compared directly with FOB, CIF or DDP without adding the buyer-side costs and responsibilities that begin after delivery. Use the existing Landed Cost & Quote Normalizer to record confirmed amounts, keep unknown costs visible and estimate the complete landed cost.

Direct answer

EXW is a delivery rule with a narrow seller obligation, not a complete shipping price. The supplier makes the goods available at the agreed place, typically ready for collection. The buyer may then face loading, pickup, China transport, export, freight, import and delivery work. Exact arrangements can differ in practice, so confirm the contract, local legal ability and forwarder scope rather than treating this guide as legal advice.

What EXW means and why the named place matters

Under ICC guidance, delivery occurs when goods are available at the agreed location, typically the supplier's premises, ready for loading. The buyer generally carries loading and onward-transport cost and risk.

Write the full location and Incoterms version. Confirm pickup hours, contact, vehicle access and ground-level readiness.

Not every shipment uses every service, but every applicable layer needs a confirmed arranger and cost status. Unknown does not mean zero.

Factory-gate price, loading and pickup

The product price may exclude export reinforcement, pallets, crates, loading labor, forklift use and truck waiting. Confirm who loads, bears damage risk and pays appointment, access or waiting charges. Give the forwarder the full address and packing data.

China transport, warehouse, consolidation and repacking

China trucking may end at a warehouse, port, airport or rail terminal. Receiving, unloading, storage, consolidation, repacking, relabeling and palletizing are separate unless listed. Confirm export cartons or machinery crates before pickup.

Export declaration and exporter-of-record considerations

ICC guidance warns that EXW can complicate export clearance when a foreign buyer cannot complete local formalities. Confirm the legal exporter and declaration process with qualified support; FCA may be more workable. Never misstate exporter, value or product description.

Origin handling for LCL and FCL

LCL can incur receiving, CFS, documentation, export, terminal and consolidation charges. FCL can involve container pickup, trucking, loading time, seal, terminal and equipment charges. Request an itemized quote; charging methods vary.

International freight and cargo insurance

EXW excludes main carriage. Quote the route, cargo, packing, service and destination. Confirm insurance value, risks, exclusions, deductible and claim evidence separately; forwarder liability is not cargo insurance.

Import clearance, duty, tax and customs broker

Destination entry may involve classification, valuation, permits, duty, VAT/GST, fees and a broker. Rules are product- and market-specific. Confirm broker scope and verify duty independently; a supplier estimate is not a customs ruling.

Storage, demurrage, detention and examination risk

Late documents, examination, congestion or delayed container return can create contingent charges. Ask about free time, notice and document deadlines, and keep these risks separate from fixed quoted costs.

Final delivery, residential charges and Amazon FBA

Door delivery may add trucking, appointments, liftgate, residential, remote-area, redelivery or unloading charges. FBA can require warehouse codes, shipment references, labels, booking and pallets. Confirm each included service.

Why EXW is difficult for first-time importers, and when it can work

EXW is difficult without a China pickup network or workable export arrangement. It can suit experienced consolidation or a buyer's China warehouse. Confirm responsibilities and consider FCA or FOB when their delivery mechanics fit better.

EXW versus FOB

With EXW, the buyer's responsibility usually starts at the named pickup place. With FOB, the seller's scope extends to export clearance and loading the goods on board the nominated vessel at the named port under the rule. FOB applies to sea or inland waterway transport; containerized cargo may be better matched to FCA depending on the delivery point.

Example: small LCL shipment

A supplier quotes USD 4.20 per unit EXW factory. The product amount does not establish the landed cost. Buyer-side layers may include factory pickup, China domestic transport, warehouse receiving, consolidation, export handling, LCL freight, destination clearance, duty or tax and final delivery.

No universal price is applied. The buyer requests itemized supplier and forwarder scopes, records unknowns and compares the resulting estimate with a named-port FOB alternative.

Example: consolidating several suppliers

A buyer sends goods from three factories to one China warehouse. Each pickup, receiving record and domestic freight charge is separate. The warehouse combines cartons, updates the packing list and hands one shipment to the export forwarder.

Consolidation may reduce the number of international shipments, but it introduces receiving, storage, repacking and coordination work. The buyer should not assume those services are included in any factory's EXW quote.
